QA Administrative Calendar

Purpose

The Quality Assurance Center (QAC) publishes the detailed QA Administrative Calendar for Department Chairpersons and the faculty in the beginning of every academic year. However, dates are changed in the beginning of every academic semester. The QA administrative calendar is designed to enhance the planning, monitoring, and review of teaching and learning activities, as well as supporting academic and administrative services. It serves as a structured guide to ensure the timely preparation, submission, and documentation of all essential academic quality records. These documents are to be submitted to the respective College Deans, relevant administrative offices, or uploaded to the program’s shared drive, as applicable. To ensure that each semester concludes responsibly and in full alignment with academic quality requirements, course instructors are advised to carefully review the required procedures and adhere to the deadlines outlined in the Administrative Calendar

Beginning of the Second Semester — Setting the Foundation

To ensure course readiness, faculty members are expected to ensure that course specifications, syllabi, assessment schedules, and class schedules are in place. Students must be introduced to academic integrity and course expectations at the beginning of the semester and acknowledge this through the Academic Integrity & Syllabus Acknowledgement Form.

Students should also be informed of academic integrity and course expectations at the beginning of the semester, and this is verified through an academic integrity declaration form and a course syllabus.

During the Semester — Monitoring and Continuous Support

Faculty members are responsible for monitoring student progress, maintaining accurate academic records, and providing ongoing academic support. This includes:

  • Submitting Term 252 midterm grades (20% and 60%) in a timely manner
  • Supporting low-GPA students through academic advising and required reports
  • Maintaining up-to-date grade books
  • Fulfilling faculty professional development and annual evaluation requirements

After the Semester — Assessment and Improvement

Faculty members are required to:

  • Calculating the results of learning outcomes (CLO / PLO / SO).
  • Prepare course reports and E-course folders
  • Submit exam-related evidence

This ensures a reflective, accountable, and quality-driven closure of the semester.
